Privacy policy

This privacy policy explains how InkFlow RIP processes personal information in line with the Protection of Personal Information Act. It applies to enquiries, quotations, support work, training, remote setup and related business records handled in South Africa.

Information we collect through normal business contact

We collect personal information that is reasonably needed to respond to enquiries, assess printer control board and RIP requirements, arrange remote support, manage training, and keep service records. This may include a name, company name, contact details, delivery details, job notes, device information, and communication history linked to your account or project.

  • Contact and business details shared through the enquiry form
  • Technical information about printers, boards, drivers, queues, profiles and workflows
  • Records relating to support calls, fault finding, maintenance and recovery work

How personal information is used in our operation

Personal information is used to provide services, prepare quotations, coordinate installations, support remote configuration, and maintain an accurate record of work completed for a client. We also use it to manage invoicing, project administration, and follow up on technical issues where further information is needed to complete a task.

Information is processed only for lawful business purposes connected to InkFlow RIP and the services requested. Where information is no longer needed for those purposes, it is retained or deleted in line with legal and operational requirements.

Protection of information and access control

We use reasonable technical and organisational safeguards to reduce the risk of loss, unauthorised access, alteration or disclosure. Access to personal information is limited to staff and service providers who need it to perform specific duties such as support, administration, colour workflow work or board repair handling.

  • Restricted access to client records and technical files
  • Controlled use of remote support tools and saved configuration data
  • Internal handling procedures for maintenance notes and backup files

Sharing with service providers and legal disclosures

Personal information may be shared with trusted service providers who assist with administration, hosting, communication, accounting or technical support functions. Those parties are expected to process the information only for the agreed purpose and to apply suitable safeguards.

We may also disclose information where the law requires it, or where it is necessary to protect our rights, verify a request, or deal with a technical incident affecting a client system.

Your POPIA rights and requests

Under POPIA, you may request access to personal information held about you, ask for corrections to inaccurate details, object to certain processing, or request deletion where the law allows it. Requests must be made using the enquiry form on our contact page so that the matter can be verified and handled correctly.

  • Access to your personal information where permitted by law
  • Correction of outdated or inaccurate details
  • Objection to processing in specific lawful cases
  • Consent withdrawal where processing relies on consent
